ACCOMMODATION
Arrangements have been made by JTB ( Japan Travel Bureau ) for a wide variety of accommodation to be available in downtown Osaka. Please reserve your hotel via the JTB web site, which has a link from ours. If you cannot access to WWW, please use the reservation form attached to Bulletin #1. Although the deadline is July 1, 2000, you are encouraged to make a hotel reservation as early as you can so that your first choice can be honored. Please note that all participants are requested to make their own reservation directly with JTB. The Conference secretariat does not handle accommodation.
 

REGISTRATION FEE
If you have not paid the registration fee yet, please pay it now. The preferred method of payment is by credit card. The second choice is a money order through a post office. Bank checks involve high bank transaction fees on both sides. If the bank check is your only choice, please specify one of the following three banks as the "Paying Bank" if possible.

CANCELLATION OF REGISTRATION
In case of a cancellation received in writing by the ICHEP2000 Secretariat by July 15, 2000, the registration fee ( less 3,000 Yen cancellation charge ) will be refunded. Cancellation by e-mail is not accepted. No refund is made for cancellations received after July 15, 2000.
 

REGISTRATION DESK
The registration desk will be opened at the Conference site at 4:00 PM on July 26, the day before the Conference begins. The desk will be open until 8:30 PM, late enough for most people arriving at Kansai International Airport. We strongly encourage you to register on July 26, to avoid congestion on the first morning of the Conference.
Free drinks will be served for those who come to register on July 26. In addition, we will offer a free map of Osaka and a free guide to Osaka to help you navigate around the city and find a place to eat.
If you cannot register on July 26, please come earlier on July 27. We will open the registration desk at 8:15 AM on July 27.
 
 
 

OPENING CEREMONY
The Opening Ceremony will take place before the parallel sessions on July 27, 2000 at 9:30 in the Main Hall of the Conference site. All participants are welcomed to attend the ceremony.
 

BANQUET July 31, Monday 18:30~20:30
A Banquet will be served on July 31, 2000 at the Hotel New Otani. One ticket is included in the registration fee. Additional tickets for your family and friends can be purchased for 5,000 Yen each at the time of registration. Children under 12 are free.
It will be a buffet-style banquet ( mostly French with wine and beer ) hoping to provide a place for you to have a good time with your old and new friends. We will prepare a few extra plates for vegetarians, but can not accommodate special kinds of foods for religious requirements. We expect that there may be a few people who need special diet or who have to avoid some kind of food due to medical reasons. In such a case, please let us know at the earliest possible time the details of your health requirement and we will do what we can.
 

SOCIAL PROGRAMS
The following two social events are arranged for all participants and accompanying persons. They are held at the Conference site FREE of charge.

(1) July 27, Thursday 19:00~20:30
An Introduction to " Bunraku - The traditional Japanese puppet play ".
With hundreds of years of history, ' Bunraku ' has reached a high level of sophistication. It takes three puppet players to handle each puppet! ( You can see a Bunraku-puppet on the poster of ICHEP2000. ) The art of Bunraku will make you believe the puppets are alive, dominating the stage, and you will be drawn into the world of Bunraku-puppets.
In this evening, an introduction to Bunraku plays will be presented especially for you.

<NOTE>
The full performance of Bunraku plays are presented on July 28 and July 30 at 'The National Bunraku Theater' with group discount tickets for the participants of ICHEP2000 and their accompanying persons. The persons who want to purchase the discount tickets are requested to apply via the Conference web site by June 10. Note that the deadline is earlier than other applications.

(2) July 29, Saturday 19:00~20:30
"An evening of Japanese music"
Hiroyuki KOINUMA, Yumiko KANEKO and Mikio TSUJI will play Japanese music.
KOINUMA and KANEKO are prominent Japanese flute ( "Shinobue" and "Nokan" )
players and TSUJI is a prominent guitarist who plays a guitar with 11 strings. These three musicians often play together. Japanese music is somewhat different from Western music. The deviation from exact pitch and exact tempo is the main technique for its sophisticated expression. You will find the music very charming.

PUBLIC LECTURE July 30, Sunday 14:00~16:00
The ICHEP2000 Organizing Committee offers a public lecture by Professor Jerome
Friedman ( MIT ) on Sunday, July 30 from 14:00 at the Conference site. The title is "Are we really made of quarks?". It is open to the general public as a Nishina Memorial Lecture, arranged with the help and support of several organizations, including the Nishina Foundation, Osaka International House and of course Professor Friedman. Anyone interested is welcomed to attend.
 

EXCURSIONS July 30, Sunday
JTB provides you with the following four bus tours as one-day excursions. All prices include both lunch and admissions except Tour 4. Application should be made via the JTB web site by yourself.

You may enjoy a stroll along the street near the Conference site. Details will be
announced at the Orientation.

15 persons / class ( 1 hour ), 2 classes will be held. 800 Yen / person

Special Tour to Osaka Castle ( Osaka-Jyo ) ( 14:00 - 16:40 )
A special tour to Osaka Castle is arranged for accompanying persons. The tour visits
two original turrets of the Castle built in 1620 which are normally closed to the public.
The tour also includes a visit to the restored Keep ( Castle Tower ) which is now a
museum. A special short lecture on the history of the castle will be provided. The
capacity is two groups of 50 persons each. Sign up required ( see Note 2 below ).

(3) July 29, Saturday
(a) Introductory class for Japanese Flower Arrangement ( 10:00 - 14:00 )
10 persons / class ( 1 hour ), 3 classes will be held. 800 Yen / person

(b) Visit to Nara ( 10:30 - 16:00 )
You may enjoy Nara ( the oldest Capital City of Japan ) with volunteers from Nara
Women's University ( NWU ). NOTE that you are expected to come to "Kintetsu
Nara Station" by 10:30 by yourself.
The programs are,
- a mini-concert of "Japanese Harp" and "Noh-play" by NWU students,
- lunch,
- a stroll around Nara Park ( Todaiji-Temple, Kasuga-Shrine ).
(c) Evening program

CONTRIBUTED PAPERS
To submit full papers, please go to the web page at
http://ichep2000.hep.sci.osaka-u.ac.jp/
and follow the instructions to send us the Los Alamos archive numbers. Please do not send us the actual papers. The deadline for submission is July 1, 2000. The Los Alamos archive numbers of the papers contributed before the deadline will be passed on to the rapporteurs of appropriate plenary sessions.
 

TRANSPARENCIES
The transparencies of the talks will be made available on the web as soon as possible after the presentation at the Conference. Although the transparencies will be collected and scanned after the talk, the speakers are invited, if possible, to send beforehand their transparencies in either PDF or Postscript file format to
ichep@hep.scphys.kyoto-u.ac.jp .
PROCEEDINGS
The ICHEP2000 Conference proceedings will be published by the World Scientific Publishing Company. Every speaker in the Conference is requested to follow the instructions for preparing a manuscript of the talk and submitting it to the proceedings. The instructions will be available after June 1, 2000 on the Conference web site,
http://ichep2000.hep.sci.osaka-u.ac.jp/ ,
where regular updates will appear. The deadline for the submission of the camera ready manuscripts is September 15, 2000. PLEASE NOTE that this deadline will be strictly enforced.
 

COMPUTING ENVIRONMENT
1. We will prepare 50 PCs running Linux at the Conference site for ICHEP participants.
Each PC will have
* telnet and ssh for people to login to their own host computers for reading / writing e-
mails,
* Netscape web browser for accessing web mails and usual web browsing,
* X window environment, and
* usual UNIX software tools.

However, you will NOT be able to DOWNLOAD e-mails to the PCs at ICHEP2000
from your POP server by using an e-mail client such as Outlook Express, Eudora, or
Netscape Communicator.

2. We will have dedicated PCs for speakers to prepare their talks.
There will be 5 PCs running Linux and a few PCs running Windows 98 with free
software. Please note, however, that Windows will be in Japanese though the icons are
the same.

3. Bring your laptop, please!
We will also prepare 40 10baseT cables to connect your laptop computers at the
Conference site.
If you bring a laptop, you can
* download e-mails from your own POP server,
* bring your complete working environment with you,
* avoid hassles with a slightly different Japanese keyboard layout, and
* avoid waiting in line for the terminals.

The IP address of your machine will be defined dynamically by using a DHCP server.
Macintosh, Windows and Linux have DHCP capabilities. It is very easy to set up for
DHCP, but if it is new to you, please ask someone familiar with computers.

With your laptop, you can also connect to the network from your hotel, although it is
slower than at the Conference site. Some major internet service providers (ISPs) such
as AT&T World Net, AOL, etc. have access points in Osaka, and some providers have
roaming options to use access points of local ISPs. Please check with your ISP whether
they have access points in Osaka before you come.
 

The hotels are equipped with RJ-11 telephone jacks. To reach outside the hotel, dial 0
first, usually by adding "0," in front of the phone number. Since you will not get the
standard dial tone until you dial 0, configure your modem to ' ignore dial tone '. At
some hotels, you must choose "pulse mode" instead of "tone mode" for dialing.

The AC power in Japan carries 100V at 60Hz in the western part of Japan including
Osaka. Most AC adapters accept 100-240V, and 50-60Hz AC, but please check.
The AC outlets accept two 6mm wide and 17mm long parallel blades separated by
12mm. Most of the AC outlets do not have a hole for the third pin for ground, so you
must prepare a 3 pin -> 2 pin converter if your AC plug has the third pin.
 

TRANSPORTATION TO
THE CONFERENCE SITE AND THE HOTELS
A set of instructions on how to get to the Conference site ( i-house ) from the airports and the JR Shin-Osaka station are enclosed. The instructions on how to get to your hotel and how to get to the Conference site from the hotel are available on the web site:

If your hotel is already fixed, a copy of the detailed information for your hotel is also enclosed.
 

CURRENCY EXCHANGE
ATM cashing service for credit cards is not generally available in Japan. Participants are recommended to exchange their cash or travelers' checks for Japanese Yen before departure from their country or upon arrival at the airport.
Over the last year the exchange rate has been US$ 1.00 = 105 ~110 Yen .

1. At Kansai International Airport
Bank counters at Kansai International Airport accept the following currencies in cash for exchanging them for Japanese Yen:
Australia Dollar, Austria Schilling, Belgium Franc, Canada Dollar, France Franc, Great Britain Pound, Germany Mark, Hong Kong Dollar, Italy Lira, Netherlands Guilder, New Zealand Dollar, Norway Krone, Singapore Dollar, Spain Peseta, Switzerland Franc, Sweden Krone, Thailand Baht and US Dollar.

They also accept traveler's checks in the following currencies:
Australia Dollar, Canada Dollar, France Franc, Germany Mark, Great Britain Pound, Hong Kong Dollar, Japan Yen, New Zealand Dollar, Singapore Dollar, Switzerland Franc and US Dollar.

Korea Won, Taiwan Dollars, China Yuan Renmimbi, Philippines Pesos, and India Rupees are not accepted.

There are ATM machines which accept Cirrus, Plus and VISA cards.

2. At Osaka Itami Airport and JR Shin-Osaka station
A currency exchange service is not available at Osaka Itami Airport and JR Shin-Osaka station.

3. Near the Conference site
Tennoji Post Office ( 5min walk from the Conference site ) accepts cash and traveler's checks for change, in Australia Dollar, Great Britain Pound, Canada Dollar, Germany Mark, Switzerland Franc and U.S. Dollar. In addition, they accept traveler's checks in European Euro. The post office is open from 9AM to 4PM Monday through Friday, and is closed on weekends.

There are a couple of ATM machines which accept VISA, Master Card, American
Express, Diners Club, JCB, Plus, Cirrus and Maestro cards inside the Kintetsu Department store at Uehonmachi ( 7min walk ).

Tokyo Mitsubishi Bank at Uehonmachi accepts all the currencies listed for the bank counters at Kansai International Airport. The bank is open from 9AM to 3PM, Monday through Friday, and is closed on weekends. You will need to show your passport when you ask for an exchange.

Some traveler's checks issued by minor banks may not be accepted.

TELEPHONE CALLS

1. Area code
All the area codes in Japan start with 0, such as 06 for Osaka. If you are not sure about the area code of where you are, just dial the full number with the area code.
To dial Japan from foreign countries, access your international carrier, dial 81 which is the country code for Japan, and the number without the first "0" in the area code. For example, if the listed number says ( 06 ) 6772-9950, dial +81-6-6772-9950. ( The first "0" signifies to reach outside the current area code. This is equivalent to "1" in the U.S.. )

2. Public telephones
Public telephones can be found everywhere, in train stations, on sidewalks, in shops and restaurants, and just outside convenience stores. Green telephones accept 10 Yen and 100 Yen coins and magnetic telephone cards. Gray telephones accept 10 Yen and 100 Yen coins and magnetic telephone cards, and has ports for modular jacks. Orange telephones accept only new IC telephone cards and have an infrared port to connect computers, but the number is still limited.
To make a call using coins, lift the receiver, deposit some 10 Yen or 100 Yen coins, and dial. If you only use 100 Yen coins, the change less than 100 Yen will NOT be returned.
To make a call by using a prepaid magnetic telephone card, lift the receiver, insert a magnetic telephone card ( NOT YOUR CREDIT CARD ! ) into the slot, and dial. The prepaid "telephone cards" are available at station kiosks, convenience stores, vending machines next to the telephones, etc.. The cards are available in values of 500 Yen and 1000 Yen.
To make a collect call within Japan, dial 106. After a recorded message, an operator will assist you in English.

3. International call
* Paying by a prepaid telephone card or coins
Find a green or gray public telephone marked "International & Domestic Telephone". After inserting a prepaid telephone card or depositing a few ( 100 Yen ) coins, dial 001- country code - area code - number.

* Charging to your credit card or a calling card
This method works on almost all public telephones. If you are using a public telephone, deposit a 10 Yen coin. If you are calling from a hotel, dial 0. After getting a dial tone, dial 00539-111 to connect to AT&T. Follow the instructions and dial the phone number you want to call. If you are calling the U.S., dial the 7 digit phone number. If you are calling other countries, dial "01" followed by the country code and the number. You will then be asked to dial your calling card number or a credit card number + the expiration date. If you prefer a carrier of your choice, call 0051 and ask a KDD operator.

* Charging to your hotel room
In most hotels, dial 0, and then 001 - country code - area code - number.

4. Emergency
The national emergency numbers are 110 for calling the police, and 119 for calling an ambulance and for reporting a fire. You do not need to insert any money into public telephones to call these numbers. In case of green public telephones, push a red button before dialing.
 

GENERAL INFORMATION

about Osaka
As Japan's oldest city with a history of 1,500 years, Osaka has much to offer to today's visitors; the lively Kita and Minami amusement districts, a rich variety of sporting and cultural facilities, abundant shopping and dining opportunities. Osaka is the largest commercial center in the west part of Japan and also a convenient stepping-off point for visiting Kobe, Kyoto and Nara.

Conference Site
The Conference Site is the "International House, Osaka" which is situated in the central region of Osaka City on the Uemachi-Daichi hill. There are many interesting places nearby ; the Shitenno-Ji temple ( the first temple founded in Japan, within 1km ),
Shinsai-Bashi / Douton-Bori ( Shopping, cinema, restaurants, a flood of neon signs in Minami district, within 2.5km ), Osaka-Jyo castle ( within 3km ) and the "History Promenade path" on the Uemachi-Daichi hillside, and other attractions.

Climate
Summer in the Osaka area is hot and humid. The temperature often goes up to 34o C ( 90o F ) in the daytime. Bring your handkerchiefs. Conference rooms and hotels, as well as buses and railway passenger coaches, are generally well air-conditioned. Rainfall is unlikely during summer, but there is a slight chance of typhoons with heavy rain.

Travel tips for ICHEP2000 participants
(1) Use public transportation such as trains, subways, and busses. Driving a car is not recommended unless you are very familiar with the Osaka traffic. You lose more time in traffic jams and time to find a parking space than using public transportation.

(2) Carry the bare minimum when you come. When traveling in Japan, railway and subway stations are not well equipped for wheel-chairs and for passengers with large luggage. In addition, luggage space in public transportation is minimal, except for the transportation directly connected to an airport. Most taxies can not take large suitcases either.

(3) English may be understood only for a very simple communication. Always carry the name, address and phone number of your hotel with you.

(4) Most toilets in train stations are not equipped with toilet paper. In most cases, there is a vending machine for a small toilet paper package. It is recommended, however, to purchase pocket size tissues beforehand at convenience stores.

(5) Special diet for a religious reason is not a well known concept in Japan, hence finding a restaurant to fully conform to such a request is generally nearly impossible. Vegetarian diet is also hard to find if your requirement is strict.

(6) Electric power in Japan is 100V AC. Western Japan is 60Hz and eastern Japan is 50Hz. If you have to carry electric appliances, you may consider a voltage converter. See " Computing Environment " if you are bringing a laptop computer.

(7) It is a relative matter, but medical expense is rather high in Japan. Some kind of medical insurance in case of illness and accident is recommended during your stay in Japan.
